Secretary & office clerk
Location: Tenerife, Canary Islands (ZEC Zone)
Position Overview: as a secretary and office clerk at our deep-tech startup, you'll be the backbone of our administrative operations, supporting our team of engineers, scientists, and business developers in a fast-paced, innovative environment. This role combines traditional administrative duties with specialized support for a technical team working on cutting-edge technology.
Key Responsibilities: administrative support, manage calendars, schedule meetings, and coordinate travel arrangements for leadership and team members, handle incoming communications (phone calls, emails, visitors) and direct them appropriately, maintain organized filing systems, both digital and physical, prepare and edit correspondence, presentations, and other documents, coordinate office supplies and equipment maintenance, office management, oversee day-to-day office operations and implement efficient processes, coordinate with vendors, service providers, and property management, assist with onboarding new employees by preparing workspaces and materials, organize team events, meetings, and occasional social activities, maintain a clean, functional, and welcoming office environment.
Technical Support: Assist with basic documentation of technical projects and research, organize and maintain technical libraries and resources, support the preparation of grant applications and technical proposals, coordinate with external partners, academic institutions, and regulatory bodies, assist with intellectual property documentation and submission processes, financial administration, process expense reports and reimbursements, assist with basic bookkeeping and invoice management, support budget tracking and financial documentation, coordinate with external accounting services as needed.
Required Skills: Excellent organizational abilities and attention to details, strong written and verbal communication skills, proficiency with office software (Microsoft Office suite, Google Workspace), ability to prioritize tasks and manage time effectively, discretion when handling confidential information, problem-solving mindset and proactive approach to challenges.

Position Overview: We are seeking an experienced and highly organized Office Manager to oversee the day-to-day operations of our software development facility in Tenerife. The ideal candidate will be the backbone of our office environment, ensuring smooth operations, effective administration, and excellent support for our technical teams.
Key Responsibilities: Manage office operations, including facilities, equipment, supplies, and vendor relationships Coordinate with ZEC authorities regarding compliance requirements and documentation Process and maintain administrative records related to ZEC status and obligations Serve as the main point of contact for office-related inquiries and visitor management Support HR functions including onboarding, documentation, and employee experience initiatives Oversee budget management for office expenses and prepare related financial reports Coordinate internal events, meetings, and team-building activities Maintain office inventory and procure supplies as needed Ensure compliance with local regulations and company policies Facilitate communication between headquarters and the Tenerife office Assist with travel arrangements for visiting clients or team members.
